Similar Systems Front-end

 The following are examples of similar systems used as colleges and universities. They show the front end, or student end of the process, often identifying how students are notified of packages. From these examples things like at what point does the email notification get sent can be deduced. Lipscomb University tells its students to come to the mail room 1 hour after the message has been received or it may not be ready for pickup. 

From this its safe to assume packages are scanned and emails are sent out once possession is transfered from the mail carrier to the university. During that hour packages are probably being processed and sorted. 

This knowledge is important because its now know how not to implement similiar systems. The idea is to eliminate all confusion about package deliveries with this new system, and it appears that there are complications in notifying students of the arrival of packages before they are actually ready for pickup.

Student Package Services

All incoming commercial courier deliveries and USPS accountable mail, parcels, flats and packages will be delivered to the new Student Parcel Depot. The center is conveniently located at 2025 F Street, Room L101 in the SupportBuilding. This service center will replace the student parcel notification and general mailing services previously provided by the Residence Hall staffs and the Marvin Center Post Office. The depot will provide automated tracking and safekeeping of all student parcels delivered to University Mail Services and offer “one-stop shopping” for all basic postal services.

·         Students will receive two forms of notification when packages arrive. First, an email notification through their GW email address and secondly a paper notification, placed in the student's mailbox daily for seven days.

·         Students will then be required to visit the Student Package Services location for pickup of their item(s). A GWorld card or Drivers License is required for identity verification during all pick ups.

·         After the email notification, students will have a seven day “grace period” to pick up packages. Items not claimed within seven business days from notification are subject to be returned to sender. This process is done to ensure timely pick up and create the necessary space for additional student packages arriving daily. 

·         Additionally, we will be offering free hand truck use for self-service parcel transport to residence halls.

Receiving Packages.
Packages sent via UPS or U.S. Postal Services are processed by Datrose Delivery Systems. For information regarding this, please see the "Package Pick-Up Process" described below.

Packages are delivered daily to the Package Room, located in Sansom Place East, Room 222 (Phone: 3-1141). Datrose employees log in packages and notify you in one of the following ways:

  1. If an email address is on record, an email notification will be sent as soon as the package is logged in.
  2. If no email address is available, a hard copy notification is placed in your mailbox by 4p.m. the day the package arrives.
After the initial notification you will receive two additional notices. If you do not pick up your package within 3 days of your final notification, the package will be returned to sender.

How will I know if I have received a package if it is too big for my mailbox?

You will receive and email notice alerting you when a parcel or package arrives and a package slip will be placed in the mailbox approximately one hour after the email notification arrives. Please bring the notification found in your mailbox to the service window, show a photo I
D in order to receive the package. Do not bring the printed email message to claim your package. Please allow ONE hour from the time you receive and email notification before you check your mailbox for the package slip.

We will be sure to let the student know that their package has arrived the moment it has been received and checked in at our facilities. This is done through email with the subject line, “Package Received Notification.” If your package does not have a tracking number, we are unable to track your package or verify that the specific package has arrived on our premises.

Delivery Notification and Package Pick-up

Students living on campus will receive three notifications: (1) email, (2) phone call, and (3) package slip in mailbox. Students living on campus will pick up their packages at their area desk. Area desks are open 24 hours a day, 7 days a week.


Q. I got an email package notice. Where do I pick up my package?

A. Please read your entire email carefully. All details needed to retrieve a package are in your notification.

Q. I received a package but I didn't I receive an email. Why?

A. Some students think our email notifications are junk mail and delete them unintentionally. In some cases, the Columbia University server has failed and email was not sent out or was delayed. If you think that the Mail Center has the wrong email address or has received a package but failed to send a notice, please come by and see us right away.

Q. I tracked my package online and the website lists it as delivered. Why haven't I been notified?

A. The U.S. Postal Service (USPS) Delivery Confirmation feature only provides confirmation on packages delivered to the 125th Street U.S. Post Office. It does not confirm receipt at Lerner Hall. If your package was delivered by a private carrier (e.g., FedEx, UPS, DHL), please contact the Student Mail Center for more information.

In addition to the advanced logging capabilities of inbound items, Arrival also includes a set of automated notification features - such as recipients’ automatic alerts when expected packages arrive or when an internal delivery is attempted - to further streamline the flow of packages internally. Currently KGH and Pitney Bowes are working to expand the system’s offerings to include an internal online search engine, where staff will be able to check on the status of expected items from their desktops.

Research into new or advancing technology is essential to any successful project like this one. the implementation of SMS is something that is relatively new so its good to understand its characteristics.
Why use a Short Message Server ?

Short Message Server delivers text messaging direct to the desktop, massively reducing the amount of relatively expensive text-based calls made to cellular phone and pager companies. Not only does it work out to be cheaper it also saves time, mainly due to the fact that typing on a PC keyboard is far quicker than entering text on a mobile device.

The system exploits your existing investment in cellular devices and LAN functionality as company mobile phones and pagers can be used even more, by sending SMS messages to them as well as using them for voice and data communication. As Short Message Server sits on the LAN, existing messaging tools can work with it. For instance, if your company uses MS Exchange and Outlook, SMS messages can be sent from within Outlook as easily as sending an email, removing the need for any Short Message Server client role out.
