Shared folders and multiple file upload in Google Docs Report abuse

Hello everyone,
 
We have some exciting new features to announce which we feel will enhance your experience on the docs list. First and foremost, we bring you shared folders! This has been an overwhelmingly popular request, and we're very pleased to launch this feature to all of you.  Now not only can you share your docs, but also your folders as well. We hope this feature will help make organization and collaboration easier and more efficient. If you keep all your related documents in a folder, you can share that folder with anyone. Your collaborators will have access to all the docs in that folder and any new docs you add to it in the future. If you're working on a project with four team members and a new colleague joins the team, all you have to do is share the project folder with him and he'll instantly have access to all the project resources. In addition to shared folders, we are excited to announce the ability to select multiple files for quick uploading. To find out more about this feature, take a look at the help article below:
 
 
We also are happy to announce the new and improved version of the docs list.  You've most likely noticed that the colors have changed a bit but there are some other noticeable additions listed below: 
 
-Select all/select none-This is the box to the left of the 'Share tab' on the toolbar. This functionality allows you to select a bunch of docs and perform bulk actions on them.
 
-'Shared with me' view: This allows you to see which docs you are a viewer or editor on, not an owner of, very quickly. Please note that this view shows only top level shares. For example, if a folder is shared with me, and I click on 'shared with me', I'll only see the folder, not the contents.  
 
-The 'More actions' menu has an addition-'Hide' has been moved from the top of the docs list into this menu 
    
-Improvement of the old "Move to" dialog: The new "Folders" dialog allows you to completely control which folder or  folders an item is in. When you're in a folder, you also have a "Move to" dialog which lets you quickly move an item to a different folder.
  
A while back, when we announced that we will be making some changes to the docs list, we heard loud and clearly how much you all missed 'Items not in folders,' which many of you were using as a to-do list. Because of this, 'Items not in folders' is now back! Now that we also have shared folders, if you share an item with me and I put it in a shared folder, it is still in your "Items not in folders" view. This way, no one else changes your workflow. 'Items not in folders' can now be found in the 'More searches' menu which is located under 'Items by type'.  
 
These updates are being rolled out gradually and should be available to everyone soon.

Shared folders is the feature I've been missing the most. 

I've done some testing of the feature and I have discovered a bug.

To begin with I had about 10 folders, that I would like to share with the users on my domain. To test I shared all folders with a single user, discovering how cumbersome it is to do this with a lot of users. I then created a new folder and moved all the existing ones into it. Then I shared it with my test user. Logging into the test account, I get all shared folders listed in the top level (the new one and the 10 existing), expanding the new displays the 10 existing again. 

I now tried to get the system to only display the top-level folder, by removing access to all folders and then only share the top folder. But what ever I do, if I have access to the top-level folder, all subfolders are also displayed as top-level. 

Giving a new user access to the top-level renders the correct result - 1 top-level folder with 10 subfolders.

This is a great feature. How about a fix for the "Sorry, an internal error has occurred and your items were not shared." issue when trying to share documents?

Now that we can share folders, is the limit of shared documents increased to greater than 200?

I have not been able to upload ANY files for a couple of days now, even with this new upload screen. Even with small test Word docs I get the error:

"Sorry that file is corrupt or an unknown format."

What is going on??

I have had the same problem as RodMurray for a few days now also. NO files I try and upload work. however, i get a server error message. Help!

I have shared folders and colleagues have shared folders with me.  I can see the shared folders when I click on the email link but they do not appear on my "folders shared with me folder"

I've successfully shared a folder. However, when I move a file in to that shared folder, that file isn't shared like it should be.

Can you explain that in a bit more detail?

(Note the shared file should take on the sharing properties of the shared folder! at least the help topic on this subject tells us so.)

Thanks ahab, but that's not what happens. Not for me anyway.

I shared a folder called "work" with someone. All of the files that were in the "work" folder were successfully shared with the person.

I then moved a file from another folder into the "work" folder. That file is NOT shared with the person I'm sharing the "work" folder with.

Ever since the new upload screen became available, I am not being able to select the file to be uploaded on my machine running Ubuntu (Firefox is the browser).  However, I can select files from my Windows machine, on whichever browser I try.  Can someone figure out what the problem could be?  I was having no problems uploading files on the Ubuntu system with the old upload screen.  I have 'javascript enabled' ticked in the firefox preferences.

Did you have sharing rights on that file that would allow you to share it with others?

It would not be wrong to assume that moving a file to a shared folder would allow that file to be shared. If that's not the case, the user experience is horrible.

Shared folders are not working for domain users - users having a folder shared with them will not see the folder under "folders shared with me", they have to be manually invited or given a link to individual files.

I am getting (still) a server error everytime I try and upload anything (PDFs, Word Docs, Spreadsheets - note: all within size limits).

This error has been happening all week! Help!!!

It also started a week or so ago when you guys introduced the new multiple upload option, and I made a comment about the error then.

You then changed the upload page to the old one and it all worked fine, now you have the new multiple file upload page up again and nothing uploads!  Please help.

I am using Firefox.

Maybe I'm missing this, but I don't see an answer to it anywhere yet. Are shared folders themselves re-created in the collaborator's Docs list. I've shared two folders with a colleague. They see all the individual documents okay, but they didn't get the folder itself. The individual docs have the name of the folder next to them in a slight blue box, but under "Folders Shared With Me" she has nothing. It's like the two folders were opened and the contents "dumped" into her Docs list. She can see them under "All Items" of course, but there is nothing under "Folders Shared with Me". Does she have to put them into folders herself? Or is it possible for her to receive the folders as well as their contents?

It should be possible to receive the folders as well. I think it works best if you make the folders and put some files in them before trying to share. It might be worth trying the Search box at the top  - enter part of the name of the folder - this should then show up and allow you to click on it. At this point you should be able to move the folder into another one, though it is true that it does not always seem to be possible to put it into the Folders shared with me area.

ahab - can you confirm the conditions under which folders vanish into the ether? I know we tried this out last week.

Joining the folder bandwagon I have a question that other users might know the answer to.

If I have already shared multiple files with multiple users (I am a teacher and now using google docs for classwork) and then create folders to help manage my files, if I move already shared files into folders does this change any of the permissions granted to my students to edit/view the files they already have access to?.

I have shared a folder with documents and the people I have shared it with can edit the documents.  However, I would like them to be able to add documents to the shared folder as well.  Does anyone know how to do that?

The should be able to do this in the docs listing page of their account - by dragging the files is the easiest way - from the right pane to the list of folders opened in the left one.

Like AgnesHS, I also would like to allow people to add documents to the folders I share with them.  They are unable to sign up for a Google account, because they are my students, under the age of 13.  Therefore they can't log in.  Is there any way for them to add documents to the shared folders?

Did I break this? I had a shared folder that was working fine. I created a sub-folder within that shared folder and now I can't create documents within either of the 2 folders. Deleting the sub-folder did not help the problem.

WhI have tried to upload approx. 25 files at once from a folder - when the upload is done, the files appear in triplets, ie. each file is shown 3 times in the folder - besides some of them seem to "fall out" of the destination folder selected when uploading.

No, I did not upload the same files several times - nor did I reload or disturb it during the upload... ;-)
